Stocktaking with a reader instead of rewriting lists — and a result that matches reality. Every item of property is assigned to a specific room and a specific person. The system maintains records and stocktaking, it links to building management and shares data with the other Qintec solutions, so a municipality or company enters it only once.

Every item has a location and a responsible person. Stocktaking is done with a scanner and a discrepancy is visible immediately, not a month later.
Asset records are usually a list in a spreadsheet that was created years ago and has been added to by hand ever since. A device is moved to another room, an employee leaves, part of the assets is written off — and none of it ever shows up in the spreadsheet.
During stocktaking the list is then compared with reality by hand, item by item. It takes a long time, it is done once a year, and an error is only found when nobody knows any more when it arose.
Both movable and immovable assets tied to a specific building, room and responsible person. When something is moved, the assignment changes, not a row in a table — and the history of moves remains.
Every item gets a tag. RFID is read remotely and in bulk, a QR code with a mobile phone — depending on what makes sense for the given type of asset. We design the labelling around what you keep records of, not across the board.
A member of staff walks through the room with a reader and the system itself compares what was read with the state in the register. The result is a list of differences — what is missing, what is surplus and what is somewhere other than where it should be.

It is the same technical basis. The register covers what is in the building and who it belongs to. Building and asset management deals with what happens to the building — inspections, deadlines, documents and consumption. Most municipalities start with one of them and add the other when there is budget for it.
Stocktaking is built on the same technical foundation as the solutions we already have running in public administration — measurement of consumption and environmental conditions in self-governing region and records of municipal work for the municipal company of a regional capital.
We start with a stocktake of one building — on your own assets, so that you can see how many discrepancies turn up and how long it really takes. The scope of labelling and any further buildings are then decided on the basis of the result.
The committee walks through the rooms and scans the tags. The result is compared with the records and the differences form the basis for the report — with no manual lists.
