Information systems and digitisation

Digitisation

You can buy a scanner yourself — we will advise which one, and we will design the whole digitisation workflow. We specialise in non-standard originals: large-format and 3D scanning, books, historical archive works, furniture, sculptures and frescoes.

We design the process from preparation through post-processing to quality control, and prepare the outputs for long-term preservation and access as well. For memory institutions, archives and companies.

Why consultancy, not selling scanners

An equipment dealer will sell you a scanner — but will not solve how to turn thousands of originals into a usable, searchable digital collection. We design the whole process: what equipment to procure and from whom, how to set up capture for different types of originals, how to process the outputs and where to preserve and make them available long term. We are on the institution's side, not the manufacturer's.

Digitisation workflow

WORKFLOW · FROM ORIGINAL TO ACCESS

  1. Analysis of the collection and originals
  2. Equipment selection and procurement
  3. Sensing and quality control
  4. Post-processing — OCR, metadata
  5. Repository and access

We specialise in non-standard originals: large-format documents, bound books and historical works, three-dimensional objects — furniture, statues, frescoes. That is exactly where the right process decides, not the brand of scanner.

We make the collection accessible through discovery interface (VuFind) and we make the metadata available for harvesting by aggregators via OAI-PMH. We prepare the outputs so that they can be taken into an archive in line with OAIS (ISO 14721:2025) — including preservation metadata according to PREMIS and the recording of descriptive, administrative and structural metadata in METS.

Frequently asked questions

Do you sell or supply scanners?
No. We are on the institution's side, not the manufacturer's — we will advise what equipment to procure and from whom, but you buy the device itself. Our work is the design of the whole process: from preparation of the originals through capture and post-processing to the repository and making the material available.
Can you handle unusual originals as well?
Yes, those are exactly our speciality: large-format documents, bound books and historical works as well as three-dimensional objects — furniture, statues, frescoes. With these, what matters is a properly set-up process, not the brand of scanner.
Do you also do OCR and metadata?
Yes, they are part of the post-processing. With historical originals and manuscripts, recognition accuracy varies according to the typeface and the condition of the original — which is why the scope and quality control are agreed in advance, on a sample from your collection.
What happens to the digitised items afterwards?
We make the collection available through a discovery interface (VuFind) — the reader searches the catalogue and the digital collections at once — and we expose the metadata for harvesting by aggregators via OAI-PMH. We prepare the outputs so that they can be taken into a long-term archive in line with OAIS (ISO 14721:2025), including PREMIS preservation metadata and metadata recorded in METS.
Can digitisation be done gradually?
Yes. An analysis of the collection determines the order — what is most at risk, most in demand or simplest to process. The process is set up once and the subsequent stages then follow it.
